    Important: Vendors are strongly encouraged to provide interactive elements (games, giveaways, demonstrations, or hands-on activities) to enhance the attendee experience.

  • GUIDELINES FOR VENDORS AND EXHIBITORS

    1. Business License Requirement

    All approved vendors must possess a valid City of Columbia business license to participate in the Parks & Recreation Month Celebration.

    Vendors who do not have a business license at the time of application may receive conditional approval; however, a valid license must be received within ten (10) business days of approval. 

    Failure to provide the required documentatin within the specified timeframe will forfeit their participation in the event. 

    2. Check-In and Set-Up Procedures:

    a. Exhibitors may begin set up between 8:00 am and 8:45 am. All trash or other large objects must be removed from the exhibitor area by 8:45 am.

    b. Any participant who fails to arrive during the check-in time will be considered a “no show” and the space may be re-assigned.

    3. Space Assignment:

    a. Participants are assigned a space with a corresponding identification number. Participants cannot sublet, assign, or donate their assigned space in whole or part, without permission of event coordinator.

    b. Table must be staffed and operating during hours of event.

    c. Clean up: Each exhibitor must clean up around his/her designated area during the event, with a final clean up at the end of the event.

    4. Supplies:

    a. The City of Columbia, its agents, patrons, guests or sponsors, are not responsible for any supplies that may be required by participants, i.e. table skirts, table cloths, tents, etc. Patrons are encouraged to bring required necessities. Exhibitors will receive one table and two chairs. Feel free to setup a tent.the City of Columbia does not provide tents. 

    5. Electrical Service:

    a. Electrical service is limited and not guaranteed, and must be requested at time of application.

    6. General Information:

    a. Liability: Neither the City of Columbia nor any of their representatives, employees, agents, patrons, guest, or sponsors, shall be liable for any loss or damage to the property of any participants due to fire, robbery, accident, or other cause that may arrive from participant’s use or occupancy of participants assigned space during the festival.

    b. Event Coordinator reserves the right to close down and remove any exhibitor that is not adhering to event policies and procedures, deemed obnoxious or performing activities not in keeping with event tradition. THIS INLCUDES SELLING OR GIVING AWAY ITEMS THAT HAVE NOT BEEN APPROVED BY THE CITY OF COLUMBIA TO SELL OR GIVE AWAY.

    7. Approved vendors/exhibitors are required to donate a door prizes.
